Terms of service

1. The service

Truviate is a billing verification service operated by VELM. It compares client agreements, approved work and draft invoices that you upload, and produces findings with supporting evidence. It does not send invoices, does not replace your accounting system, and does not provide legal or accounting advice.

2. Accounts and workspaces

• You must provide accurate account information, verify your email address and keep your credentials confidential. We may require multi-factor authentication for access to sensitive data.
• A workspace belongs to the organisation that created it. Members you invite can see the workspace’s data according to their role; you are responsible for who you invite.
• You must be entitled to upload the documents you upload, including any personal data they contain.

3. Your documents

You retain all rights to the documents you upload and to the findings derived from them. You grant VELM a limited licence to store and process them solely to provide the service to you. We do not use your documents to train models and do not share them with other customers.

4. Findings are assistance, not authority

Findings are produced from rules you confirm and evidence you provide. A finding marked verified means the evidence and calculation are complete according to the stated policy; it does not guarantee that a client will accept the amount. You remain responsible for what you invoice. Findings marked needs review or insufficient evidence are explicitly not assertions of amounts owed.

5. Plans and payment

• The First Preflight includes 1 complete preflight at no charge and without a payment method.
• The Agency plan is billed monthly in advance through our payment processor. Prices are shown before you subscribe and exclude applicable taxes.
• You may cancel at any time from the billing portal. Access continues to the end of the paid period. Fees already paid are not refunded except where the law requires it.
• Usage limits for each plan are published on the pricing page and may be adjusted with notice.

6. Acceptable use

You agree not to attempt to access other workspaces, to probe or disrupt the service, to upload malicious files, or to use the service in breach of applicable law.

7. Data and retention

Raw uploaded files can be deleted by you at any time and are deleted automatically after 30 days. Confirmed rules, findings and decisions are retained while the preflight exists. Details are in the privacy policy and the security overview.

8. Availability and changes

We aim to keep the service available and will give reasonable notice of material changes. We may suspend access to protect the service or other customers, and will tell you why.

9. Liability

To the extent permitted by law, VELM’s liability under these terms is limited to the fees you paid in the twelve months preceding the claim, and excludes indirect losses. Nothing in these terms limits liability that cannot be limited by law.

10. Termination

You may close your workspace at any time. We may terminate for material breach after notice where cure is possible. On termination you may export your findings before data is deleted according to the retention schedule.

11. Governing law

These terms are governed by French law. Any dispute that cannot be resolved amicably falls under the jurisdiction of the competent French courts, without prejudice to mandatory consumer protections that may apply.
